Property Coordinators are responsible for maintaining accurate records of their department’s assets, completing annual inventory, and ensuring all equipment movements or disposals follow required processes. 

Responsibilities include: 

  • Tracking and updating asset records in Workday 
  • Tagging new assets following Institute standards 
  • Coordinating surplus, transfers, and equipment loans 
  • Completing annual inventory 
  • Requesting logistics support for property moves 
  • Maintaining compliance with Institute, state, and federal rules

Required Training

Workday Business Assets of Property Coordinators

Anyone requesting the role of Property Coordinator in Workday is required to complete the Workday Business Assets of Property Coordinators training prior to receiving access in Workday.

The mandatory training provides information on: 

  • Using the property management system 
  • Tagging assets 
  • Managing surplus and transfers 
  • Completing annual inventory 
  • Running departmental reports 

Access the training

To access the training: Navigate to https://b.gatech.edu/genius

Click on the View Course Catalog link in the left navigation pane. Then type "Workday Business Assets" in the search bar at the top of the page, and click Find Course. When the course appears, click the Register button. 

Click on the Proceed to Cart link in the top right area of the page. Then click Confirm to confirm the course in your cart. Click on the Dashboard link in the left navigation pane to access the course.

When you have completed the training, download the certificate from the Completed Courses section of the Dashboard page.

Request the Property Coordinator in Workday

Navigate to the Workday Security Roles Request form in ServiceNow to request the new role.

In the “Requested For” field, enter the name of the Property Coordinator.

Under "Select what type(s) of roles to add", select the Assets checkbox. Then click the Add Property Coordinator Role checkbox.

In the 'Cost Center Name and Code" field, enter the Cost Center number and name for the Cost Center you would like to assign these Property Coordinators. 

In the "Additional Comments" field, please add the following information so that Property Control can add the new user to the RFTrack Inventory system:

  • GT username
  • GT Buzzcard number
  • GT Email address
  • Work phone number

 Read the "Financial Data Stewardship Attestation", and click the checkbox to agree to the GT Data Stewardship and Policy Compliance statement.

Click "Add Attachments", and add the Certificate from the completion of the training course. 

Click the Submit Request button on the right side of the page.

You should receive a ServiceNow notification when the role has been added.

Remove the Property Coordinator Role

Create a ServiceNow ticket for Workday Security.

In the “Requested For” field, enter the name of the Property Coordinator.

Under "Select what type(s) of roles to remove", select the Assets checkbox.

Select the Remove Property Coordinator Role checkbox.

In the "Property Coordinator Constraints to Remove" field, enter the Cost Center Number and Name for the Cost Center associated with the Property Coordinator.

Add or Remove the Property Coordinator for a cost center

To add or remove a Property Coordinator for a Cost Center, first determine if the person has the Property Coordinator Role. If not, follow the instructions to Request the Property Coordinator Role in Workday for the individual. Once the role has been assigned to the person, return to this page to complete the steps.

Create a ServiceNow request for Cost Center - Request Change.

On the request form, answer the question "Are you the Authorized Requestor or Finance Director for your organization?". Then select your Company and enter your Cost Center Name.

Assign a missing coordinating cost center to an asset

NOTE: This is not the process to follow when Transferring an Asset to a different Cost Center.

If an asset is missing a Coordinating Cost Center, you can add it to the asset in Workday.

Search for the asset in Workday.  Click on the Asset ID (BA Number) of the asset to open it.

Notice that the Coordinating Cost Center field is empty.

Hover over the Asset ID and click on the Related Actions icon. Hover over the Business Asset option, and click Edit.

Scroll down to the Coordinating Cost Center field and click in the textbox. Enter the Cost Center Code and press Enter. Click OK and Done to save the changes.

To verify the Cost Center you added has at least one Property Coordinator, scroll to the bottom of the page and click on the Cost Center that you added to the Coordinating Cost Center field to view the details of the Cost Center.

Click on the Roles tab.

In the Assignable Role column, look for Property Coordinator (you can also click on the column heading and filter for this Role). Verify there is at least one person assigned to this role, the person is not terminated, and is the correct person.

If no Property Coordinator is listed, or if a person is listed but they should no longer be a Property Coordinator for your Cost Center, please follow the instructions to Add or Remove a Property Coordinator for a Cost Center.

Radio-Frequency Identification (RFID) Training for Property Coordinators

Training introduces coordinators to RFID equipment and the annual verification process. This training is required prior to anyone conducting annual inventory.
