Get or View Surplus Property

Departments may obtain surplus property at no cost. 

How: 

  • View available items on the Surplus SharePoint Site (GT login required). 
  • Make an appointment by calling the Asset Management team at 404‑894‑5000. 
  • Departments are responsible for picking up items. 

Use of Surplus

All surplus must be processed through GA DOAS‑Surplus.

Surplus items may not be taken for personal use. Surplus items may be donated to schools or outside organizations. 

What Can be Surplused?

Non-Inventoried Supplies and Materials

Supplies, materials, and non-inventoried equipment purchased through Georgia Tech remain the property of the Institute, the State of Georgia, a federal agency, or another sponsoring organization.

These items cannot be sold, transferred, or disposed of without the required approvals. Items that have no remaining value may be recycled, destroyed, or discarded only after receiving authorization from the Institute Surplus Property Officer.

Note: Building maintenance, repair, and operations materials do not require a Certificate of Authorization for Destruction and may be discarded when appropriate.

Inventoried Equipment

Inventoried equipment valued at $3,000 or more must follow the Institute's surplus process before it can be transferred, sold, or disposed of.

Approval may also be required from the appropriate federal sponsor or other granting agency.

How to Submit Surplus (Non‑Inventory Items)

  • Initiate a surplus request in Workday
  • Attach required forms (e.g., Decontamination Form for lab equipment)
  • Asset Management will process the removal from inventory.

Equipment with Sensitive Data

Submit a request to Asset Management via ServiceNow for a hard-drive bin.

Once the bin is full, the department will need to submit a Non-Inventory Surplus Form to have the bin removed. All items are then secured and sent to the vendor for disposal (wipe clean/shredded).
 

 

Large Quantity Surplus

If your department has a large volume of items:

  • Contact the Asset Management team to schedule a visit to assess: 404‑894‑5000
  • If the volume exceeds what the team can handle, they will advise on hiring movers to deliver items to the warehouse.

 

Out-of-State Equipment

Out-of-state assets cannot be disposed of without State of Georgia approval. 

How: 
Submit a ServiceNow request. Asset Management obtains state approval and removes the item from inventory once confirmed.

Surplus Warehouse Visits

The Surplus Warehouse is open by appointment only.

Schedule a Visit

  1. Contact your department's Property Coordinator to request a warehouse visit.
  2. Your Property Coordinator will submit a ServiceNow request to schedule the appointment.
  3. Once your appointment is confirmed, visit the Business Services Building at 711 Marietta Street.

What to Expect

When you arrive:

  • Park in the front row at the end of the parking lot near the Business Services entrance.
  • Enter through the main doors and check in with the receptionist.
  • Ask for the staff member who scheduled your appointment.
  • Present a valid Georgia Tech ID before entering the warehouse.
  • Sign a Property Transfer Form (PTF) before taking possession of any items.
  • A copy of the signed PTF will be emailed to your department's Property Coordinator.
  • Georgia Tech–tagged items will be electronically transferred to your department after pickup.

 

Important Information

  • Surplus items may only be claimed for official Georgia Tech business or research purposes.
  • State law requires that surplus property sold or donated outside of Georgia Tech be coordinated through the Georgia Department of Administrative Services (DOAS).
