To maintain compliance with State inventory requirements, Property Control has updated the process for managing Non-Taggable Assets.

A Non-Taggable Asset is an in-service asset valued at more than $3,000 that cannot physically accommodate an inventory tag due to factors such as size, location, surface type, or other environmental conditions.

Required Steps for Cost Centers

Cost Centers must follow the steps below when tracking Non-Taggable Assets:

Photograph the asset.

Include images of the equipment, CAE inventory tag number, manufacturer, serial number, and model number.

Verify asset information.

  • Confirm that the serial and model numbers match the information provided on the invoice, when applicable.
  • Accurate information is required for Workday inventory records and asset reconciliation.

Maintain inventory documentation.

  • Attach the assigned CAE tag number to a printed copy of the asset record from Workday.
  • Keep a copy of the photos and inventory documentation for your records.
Important Audit Information

If a Non-Taggable Asset is selected for a Property Control or State audit, departments must be able to provide the asset photographs and supporting inventory documentation upon request.

Recording Non-Taggable Assets in Workday

When creating or updating asset records in Workday:

  • Use the Taggable Asset field on the View Business Asset (Additional Data) tab to indicate whether an asset can be tagged.
  • Use the Sub-location Detail field to record additional information, such as the asset's location, room number, or other identifying details.
